Privacy notice
For the membership card. Last updated 21 October 2026.
YVR Language Group runs language exchanges in Vancouver, starting with Eiwakai. This notice explains what we keep about you for your digital membership card, why we keep it, and what you can ask us to do. It covers members of every group that uses our membership card. We follow British Columbia’s Personal Information Protection Act (PIPA).
What we keep
- Your name, as it appears on your card. If your name isn’t written in English letters, we keep the romanized spelling as well as your name in its own script.
- Your email address, to send you your card and messages about your membership.
- Your Stripe customer ID: the reference that links your card to your payments. Stripe handles all payments. We never see or keep your card number or bank details.
- Your membership details: your member number, your group, your level (Standard, Premium or VIP), your status (such as active, trial, payment due or cancelled), the dates you joined and renew or end, and a record of changes to your membership.
- Wallet registrations: when you add your card to Apple Wallet or Google Wallet, we keep the codes Apple or Google give us for each phone or account that holds the card. We use them only to update your card when your membership changes.
Like most websites, our server also keeps short technical logs, such as IP addresses, to keep it secure and working. These are deleted automatically within 30 days.
Why we keep it
- To make your card and keep it up to date, so it always shows your current level and status.
- To check at the door that your membership is current when your card is scanned.
- To email you about your card and your membership, for example when a trial is ending or a payment is due.
- To keep your member number yours for life, so you can rejoin easily.
We don’t sell your information or use it for advertising. Our websites don’t use tracking, analytics or advertising cookies. By joining and adding the card, you agree to these uses. You can withdraw that agreement at any time by emailing us, but we then can’t provide your card.
Who else handles it
- Stripe processes membership payments (Stripe’s privacy policy). If you pay in cash, we record your membership in Stripe too, for our bookkeeping.
- Apple and Google store your card in your wallet, on your phone or in your Google account, under their own privacy policies.
- DigitalOcean rents us the server where the card service and its information are kept.
- The email service that delivers our messages to you.
Some of these companies store or process information outside Canada, mainly in the United States, where the law of that country applies to it.
How long we keep it
We keep your information while you’re a member, and also after your membership ends, so that your member number stays yours and you can rejoin easily. Your card stays in your wallet and turns grey.
If you’d like us to remove your information, email us. We’ll delete it from the card service within 30 days and tell you when it’s done; backup copies are replaced within a further 30 days. Your card then stops updating and no longer works at the door, and if you rejoin later you’ll get a new member number. Stripe may need to keep payment records for longer, as Canadian tax law requires.
Your rights
You can ask to see the information we have about you, and ask us to correct anything that’s wrong. We’ll reply within 30 business days. If you aren’t happy with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia.
